By accessing and using the VenueBase platform (my.venuebase.co.uk), you agree to be bound by these Terms & Conditions. If you do not agree to these terms, please do not use our service.
Description of Service
VenueBase is a cloud-based venue management platform designed to help hospitality businesses manage staff rotas, compliance records, training, and regulatory documentation. The platform is provided as a subscription service on a monthly basis.
Eligibility
To use VenueBase, you must:
- Be at least 18 years of age
- Operate a legitimate UK hospitality business
- Have the authority to accept these terms on behalf of your business
Account Registration & Security
You are responsible for maintaining the confidentiality of your account credentials. You agree to:
- Provide accurate and complete information during registration
- Keep your password secure and not share it with others
- Notify us immediately of any unauthorized access or breach
- Accept full responsibility for all activities under your account
Subscription & Payment
VenueBase operates on a monthly subscription basis. Payment terms include:
- Monthly billing in GBP on your chosen plan
- Automatic renewal unless you cancel before the renewal date
- No refunds for partial months; refunds available within the first month under our satisfaction guarantee
- Price changes with 30 days' written notice
Acceptable Use
You agree not to:
- Engage in any illegal activity or violate any laws
- Reverse engineer, decompile, or attempt to access the platform's source code
- Use the platform for purposes other than legitimate venue management
- Upload viruses, malware, or harmful content
- Harass, abuse, or disrupt other users
- Attempt to gain unauthorized access to the platform
Data & Privacy
Your use of VenueBase is subject to our Privacy Policy. You acknowledge that:
- You own all data you upload to VenueBase
- You are responsible for obtaining consent from staff members for data processing
- VenueBase acts as a data processor on your behalf
- You remain responsible for compliance with data protection laws
Intellectual Property
VenueBase retains all ownership rights to the platform, including its code, design, and features. You retain ownership of the data and content you upload. You grant VenueBase a license to use your data to provide and improve the service.
Limitation of Liability
VenueBase is provided on an "as-is" basis. To the maximum extent permitted by law:
- We are not liable for indirect, incidental, or consequential damages
- Our total liability is capped at three months of your subscription fees
- We are not responsible for data loss, business interruption, or lost profits
- You acknowledge the inherent risks of cloud-based services
Cancellation & Termination
Regarding cancellation and account closure:
- You can cancel your subscription at any time from your account settings
- Cancellation takes effect at the end of your current billing period
- You can export your data for 30 days after cancellation
- After 30 days, your data will be permanently deleted
- We reserve the right to terminate accounts that violate these terms
Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
Changes to Terms
We reserve the right to modify these Terms & Conditions at any time. Material changes will be communicated via email at least 30 days in advance. Your continued use of VenueBase after changes indicates acceptance.
